Overview
IT provisioning is one of the biggest bottlenecks in new hire onboarding. When access to critical tools isn't ready on day one, new employees sit idle — a poor first impression and a productivity loss. Rippling's app management module provisions access to any connected app (Slack, Google Workspace, Zoom, GitHub, Salesforce, and 500+ others) automatically based on the employee's department, role, and location when they're added to the system. A new hire in Sales gets Salesforce and HubSpot; a new hire in Engineering gets GitHub and Jira — all without an IT ticket.
Before you start
- Rippling HR + IT plan (App Management module required)
- Admin access to all apps being integrated
- Department and job title fields populated for all employees
Step-by-step guide (5 steps)
Connect your apps to Rippling's App Management
In Rippling → App Management → App Shop, browse and connect each app your company uses. Rippling natively integrates with 500+ apps including Google Workspace, Slack, Microsoft 365, Salesforce, HubSpot, GitHub, Zoom, and more. Authorize Rippling as an admin for each app.
Create role-based app groups
In Rippling → App Management → Groups, create groups for each department or role: 'Sales Team', 'Engineering', 'Marketing', 'Operations'. Add the relevant apps to each group. When an employee is assigned to a group, they automatically receive access to all apps in that group.
Create a 'Company-Wide' group with apps that every employee needs: Slack, Google Workspace, Zoom, and your HRIS. This ensures baseline access regardless of department.
Map employee job title/department to app groups
In Rippling → App Management → Rules, create automatic group assignment rules: if Department = 'Sales' → assign to 'Sales Team' group. If Job Title contains 'Engineer' → assign to 'Engineering' group. These rules apply to new hires automatically.
Test the provisioning with a test employee record
Create a test employee in Rippling with a Sales department assignment. Verify within 15 minutes that Rippling has created the employee's account in Salesforce, Slack, Google Workspace, and any other Sales-group apps. Check that usernames are correctly formatted (e.g., first.last@company.com).
Set up an IT confirmation Slack message
Use Rippling's Workflows feature to trigger a Slack message to your IT admin when provisioning is complete: 'New hire [Name] provisioned successfully. Apps: Slack, Google, Salesforce. Please assign [Name] to the correct Slack channels.'
Some apps can be provisioned but still need manual configuration (like adding to specific channels in Slack or folders in Google Drive). The Slack notification reminds IT to complete these secondary steps.
What you'll get
New hires have all required software access from day one
IT tickets for access requests are eliminated
Role-based provisioning ensures the right apps for the right people
Access is consistent — no one is forgotten during manual provisioning
Common mistakes to avoid
Not creating a 'Company-Wide' group for universal apps — some tools get missed for every new hire
Connecting apps without testing provisioning first — errors go unnoticed until a new hire starts
Not setting up username format rules — inconsistent email addresses across systems create login confusion
Forgetting to update app groups when the company adopts new software tools
